Job Description:
The Back Office Executive plays a crucial role in ensuring the efficient functioning of the organization by handling various administrative tasks, data entry, and supporting the sales and front office teams. This role requires excellent organizational skills, proficiency in office software, and the ability to work collaboratively with colleagues.
Responsibilities:
1. Collaborate and Assist the Sales Team: Work closely with the sales department to provide administrative support, such as preparing sales reports, managing customer data, and assisting in sales-related tasks.
2. Supporting the Front Office Staff: Assist the front office staff with tasks like managing appointments, handling inquiries, and ensuring a seamless customer experience.
3. Plan Staff Meetings and Schedule Updates: Organize and schedule meetings, updates, and appointments for the team, ensuring efficient communication within the organization.
4. Process Business Invoices, Bills, and Receipts: Handle the processing of invoices, bills, and receipts, maintaining accurate records of financial transactions.
5. Outstanding Organizational Abilities: Demonstrate exceptional organizational skills to efficiently manage tasks and documents.
6. Understanding of Microsoft Office Programs and Computer Operating Systems: Proficiency in Microsoft Office tools (Word, Excel, PowerPoint) and familiarity with computer operating systems to handle various office-related tasks.
7. Working Familiarity with CRM Platforms: Use Customer Relationship Management (CRM) software to maintain and update customer records and assist in customer interactions.
8. The Capacity to Cooperate in a Group: Collaborate effectively with colleagues and departments to achieve organizational goals.
9. Superior Verbal and Written Communication Abilities: Maintain clear and effective communication within the team and while interacting with customers or external stakeholders.
10. Basic Familiarity with Accounting and Financial Software: Have a basic understanding of accounting principles and the ability to use financial software for basic financial tasks.
11. Knowledge of Market Research Methods: Stay informed about market research methods and trends to support the organization’s decision-making process.
